Getting Started
Start PageMaker 6.5 as normal. Begin a new file, with top, left and right margins set at 1 inch. The document will be single-sided and will only be one page in length.
The document you are preparing will be constructed from existing text and graphic files which have been produced with other software (Wordperfect for the text; a scanner program for the graphics). You must place these pre-existing files into your new document. The files will be found in the folder "CS101 Tutorial Files" in the PageMaker folder.
Before beginning, be sure that the "Autoflow" feature is turned off by going to the Layout menu and either clicking "Autoflow" to remove the checkmark, or doing nothing if the checkmark is already gone.
Issue the command to place the text into the document (File / Place) and select the file named
CASH.TXT from the tutorial folder. If necessary, click the box "retain format" to disable this
feature. Finally click "OK" to enter the "place-text" mode (notice the new cursor).
Align the cursor with the top right margin of the page and click to place the story in that location. Select the text tool from the palette. Change the font of all of this text:, click anywhere inside the text block, then:
Edit / Select All
Type / Font / Bookman
Type / Size / 14
Type / Alignment / Center
Highlight the headline phrase: "His name is Cash" and change its size from 14 to 48. This is a
good point at which to save your work to your disk.
We will now split the story into two separate text blocks. Select the pointer tool from the Toolbox. Click anywhere within the text of the story to activate the windowshade cursors around the story block. Move the pointer to the lower windowshade handle, click and hold the button while moving the mouse up so that only the words "His name is Cash." are visible.
Click on the hidden text windowshade handle and move the cursor down about a half inch, then click to place the hidden text into it's own separate block. Click in the middle of this text box and use the mouse to drag the block down so that it is aligned with the lower margin.
Adding Graphics
Place a graphic between the headline hanging from the top margin and the remainder of the story sitting on the lower margin:
File / Place / select the file called "guitar_on_wall.JPG"
Be sure that the menu says that you are placing the story "as independent graphic." Move the
cursor to just beneath the headline and click to place the graphic. Notice that the graphic is too
large for this document. We will remedy this situation by "cropping" the image.
Choose the cropping tool (as discussed in class), click on the top/middle handle on the graphic window, and move the mouse down until the word "CASH" is just hidden.
Choose the pointer tool, click in the image and hold the button while you move the image so that the top is at the 1-3/4" mark and the left is at the 2-1/4" mark. Save the file and print your work.
Alternative designs
Let's explore another layout for this page. Insert a second page into your document:
Layout / Insert pages / 1 after the current page
This layout will have the text in two columns on the page. First we need to create "column guides"
to define the margins for the columns:
Layout / Column guides / 2 columns, 0.167 inch spacing
Place three horizontal ruler guides at the 1-3/4", 4-9/16" and 4-13/16" position on the page by
clicking in the upper ruler and holding the mouse button down until the ruler guideline is at the
desired location. Repeat for the second and third ruler guideline.
Copy the work from the previous page by clicking on the page 1 icon at the lower left corner of the screen then copying the data and pasting back to page 2:
Edit / Select All
Edit / Copy
click on page 2 icon
Edit / Paste (while holding down option key)
Make certain that the image is evenly aligned between the upper and middle horizontal ruler
guidelines which you placed on the screen. If it isn't, click on the image with the pointer tool to
align the image between those rulers, remembering to keep the left side of the image at the 2-1/4"
mark. If the image doesn't fit between the upper and middle ruler guidelines, use the cropping tool
to reduce or increase the height of the image a little.
We're now going to use "Cut and Paste" to split the headline and text into two separate stories. First, click to the side of the page in order to de-select all the elements on the page. Now use the pointer tool to click on the headline block of text. Cut and paste the text:
Edit / Cut
Edit / Paste (option)
Notice that the lower windowshade no longer contains a symbol indicating the presence of more
text. This is now an entirely separate story.
Now click inside the lower text block. Click the lower right corner resizing handle and resize the block so that it fits just beneath the lower ruler guideline and just above the lower margin and only within the width of the left column. By making the text block smaller we have hidden some of the text from view.
We will now place the hidden text into the left hand column. Click once on the triangle symbol in the bottom windowshade handle. The cursor has returned to the "Place text" cursor. Move to the upper left corner of the right hand column and click.
Notice that the centered text is now no longer as attractive. Select the text tool from the Toolbox and click anywhere in the lower block. Highlight the entire block:
Edit / Select All
then change the alignment to flush left:
Type / Alignment / Align Left
then try another alignment:
Type / Alignment / Justify
Decide which way you prefer to align the text and leave it that way. While the text is selected, this
might be a good time to check the spelling in the story. To do this we must enter the story editor:
Edit / Edit Story
Utilities / Spelling
press "Start"
Each time the spellchecker encounters a word not in its dictionary it will stop to allow a correction,
if needed. This will happen several times with proper names in the story. They are all spelled
correctly, so you can simply press "Ignore" to continue. There is a spelling error, however.
You'll know it when you see it. When the computer suggests the correct spelling, double click on
the correct spelling to continue. When finished with the spellchecker, click the "close box" in its
upper left hand corner. Then leave the story editor by selecting:
Edit / Edit Layout
It's possible to do much more than double or single-spacing with PageMaker. You can define
exactly how much space you'd like to place between lines to give your final document exactly the
right kind of feel. Let's lighten this text a little as follows. Highlight the entire lower text block.
Type / Leading / Other / 17 points
It will probably be necessary to delete a blank line at the beginning of the second column so that
they once again begin at the same horizontal position. If so, simply use the text tool to position the
cursor at the location where the deletion should occur, then use the keyboard delete key. Now we can fine-tune the text by italicizing the title of the television program: Dr Quinn, Medicine Woman. (Can you remember how to do that? Check your first tutorial handout, if not) Take a look at the final document as it will be printed by choosing:
View / Hide Guides
If you're pleased with the final product, save your work and print it. If you want to fine tune some
more ... Feel free! Once you're happy with your final product, save your work to your disk and
print your final result.
